Article I - Name
Section I. This organization will be known as Club Math at Georgia Tech. Hereafter referred to as Club Math.
Article II - Purpose
Section I. The purpose of Club Math is to:
- Provide an outlet for math majors and people with a passion for math to share their appreciation of math with each other and the outside world.
- Assist Pi Mu Epsilon (the mathematical honor society) with its endeavors.
Article III - Membership
Section I. Members of Club Math will be Georgia Tech undergraduate or graduate students who meet eligibility requirements for participation in extracurricular activities as stated in the GT Catalog and SGA policies. Members shall be expected to pay yearly dues. Only Georgia Tech students can vote or hold office.
Section II. Associate members are GT faculty, staff, or alumni and their spouses who are interested in the organization. Associate members will not be expected to pay dues to the club. They may not vote or hold office.
Section III. There will be no maximum number of members.
Section IV. Eligible persons will automatically be granted membership upon request.
Article IV - Officers
Section I. Only GT students eligible according to the GT Catalog can hold or run for office, and they must already be a member of the organization.
Section II. The duties of the Executive Council will be as follows:
- Kaiser: The Kaiser will preside over club meetings and officer meetings, maintain connection between Club Math and Pi Mu Epsilon, and keep Club Math in good standing with SGA.
- Treasuremeister: The Treasuremeister will maintain records of all expenditures and ensure that generally accepted accounting practices and monetary controls are in place. The Treasuremeister will maintain a list of members and associate members. The Treasuremeister will assume the duties of the Kaiser in the Kaiserʼs absence.
- Puzzlemeister: The Puzzlemeister will arrange and organize club activities. He/she will be in charge of photographical records of club events. The Puzzlemeister will assume the duties of the Treasuremeister in the Treasuremeisterʼs absence.
- Webmeister: The Webmeister will maintain and update the club website and email list. The Webmeister will assume the duties of the Puzzlemeister in the Puzzlemeisterʼs absence.
- Publicitymeister: The Publicitymeister will produce when necessary promotional materials for Club Math and its events. The Publicitymeister will assume the duties of the Webmeister in the Webmeisterʼs absence.
Section III. Ofﬁcers will be elected in the following manner:
- The elections for ofﬁcers will take place at the end of each Spring semester. An election date will be decided by the Executive Council.
- Any student member of Club Math may campaign or be nominated for any position on the Executive Council. Nominees may be self-nominated or nominated by another member of Club Math. The candidate names will be emailed out to the list to be voted on.
- The candidate for each ofﬁce receiving a majority vote of members at the elections meeting will be considered the victor. If no candidate receives a majority vote, then there will be a run-off between the two candidates with the most votes. The candidate who receives the most votes will be the victor.
- An ofﬁcer's term will end at the conclusion of the Spring semester of the academic year in which the officer took ofﬁce. The ofﬁcer whose term is ending should be available at least by email to inform the new ofﬁcer of his/ her duties and any important information he/she feels the new ofﬁcer should know.
Section IV. Ofﬁcers shall be removed in this manner:
- If an ofﬁcer fails to maintain Institute requirements for holding ofﬁce (good standing, for example), he or she shall resign immediately.
- If it is believed that an ofﬁcer is not fulﬁlling his or her constitutional duties, then a petition requesting his or her removal must be signed by at least half of the voting membership and presented at a general meeting. Then, upon veriﬁcation of the validity of the petition by the advisor, at least two weeks but no more than four weeks from the date of submission, another meeting shall be held at which the grievance will be presented, with both sides having the opportunity to present a case.
- The Faculty Advisor, if appropriate, shall preside over the removal hearing. After all arguments have been heard, a secret-ballot vote shall be held. If at least two-thirds of the voting members present vote for removal, the ofﬁcer shall be removed immediately.
- If an ofﬁcer is removed, resigns, or is otherwise unable to fulﬁll his/her obligations, the Kaiser or his/her appointee, if appropriate, shall assume the duties of the ofﬁcer until a new ofﬁcer can be elected. Nominations shall be opened as soon as possible after the departure of the ofﬁcer.
Article V - Advisor
Section I. A full-time GT faculty or staff member will serve as advisor to the organization.
Section II. Nominations for advisor will take place within the Executive Council. The Executive Council will choose the advisor by a majority vote, and invite him/her to serve as advisor for the next academic year.
Section III. During Ofﬁcer Elections, the organization will vote on whether to continue the Advisor appointment or not. The vote must be a simple majority of those voting in order to retain the Advisor for the next academic year.
Section IV. The duties of Advisor include: meeting with organization ofﬁcers, reviewing the yearly budget, signing all required paperwork and advising on issues of risk management, organization leadership, and Georgia Tech policy.
Section V. The Advisor can be removed for not carrying out the duties and expectations as deﬁned in this document. Any member can bring concerns to the Executive Council. The Executive Council will meet with the Advisor to discuss the concerns. After this meeting, the Executive Council will vote on whether to remove the Advisor. If there is a majority vote, then the Advisor will be removed.
Section VI. If an Advisor steps down, is removed, or his/her appointment is not continued, the Executive Council will follow the process stated in Article V Section II.
Article VI - Dues
Section I. Dues will be determined at the beginning of the Fall semester by the Executive Council by a majority vote. Dues will not be less than the required amount designated by the SGA. Dues must be paid by the third week of the semester or by the second week of membership, whichever is later.
Article VII - Parliamentary Procedure
Section I. Robert's Rules of Order will govern in all situations in which this document is not applicable or otherwise unenforceable.
Article VIII - Constitutional Amendments
Section I. Amendments to the constitution shall be submitted to the Executive Council in writing for consideration. A reading or email of the proposed amendment(s) will be required prior to submitting the amendment to a vote.
Section II. Written notiﬁcation of the proposed amendment to all voting members must be made by mail or email, at least two weeks in advance of any proposed change in the constitution.
Section III. Amendments are subject to the approval by the Student Government Association and the Student Activities Committee.
Section IV. A two-thirds vote of members present will be required for adoption.
